Staff-Owned Computing Equipment Policy

Policy

Where senior staff require a computer to effectively carry out their duties and the University is unable to provide suitable equipment that where staff are prepared to use their own equipment, the University will, in limited circumstances, undertake:

 

  • to repair and maintain personally-owned computers (and printers) where a computer is deemed by the Head of School or Head of Department * to be essential for University work and confirmed as maintainable by the Director of Information Technology Services;
  • that the University liability for support be limited to standard equipment as agreed to by the Communications and Information Technology Committee from time to time;
  • that such equipment be covered by insurance for which full details will have to be provided to the Bursar. Insurance will cover computers and printers located in University premises only**

* Department means Department, Administration unit, Section, Unit, Service Sector or Trading Unit

** Premises does not include University residential houses on campus

 

Procedure

If the Head of School/Section is prepared to certify that the use of the staff member’s computer equipment is essential for the staff to carry out his/her duty professionally, please pickup an application form from the Information Technology Services.

The form is to be forwarded to the Director of Information Technology Services as a request to inspect the equipment as being maintainable.

If the Director of Information Technology Services accepts the equipment as "maintainable" he will certify the form and forward it to the Bursar.

The Bursar will inform the University Insurers of the risk.

Insurance cover will not commence until 4pm on the day on which the University underwriter accepts the risk.

The cost of the insurance premium will be charged to the Schools/Departments’ Miscellaneous Expense Code. This will be approximately 1% of the replacement price.

Maintenance of the equipment, as required may start after acceptance as being maintainable by the Director of Information Technology Services.

The cost of labour for repairs will be contributed by Information Technology Services from their general funds.

The cost of parts used in repairs will be shared 50/50 by the certifying school/Department and the staff member.

Service will only be carried out at the University office or at Information Technology Services workshop.
