Computer Purchase Procedure

Computer Purchase Procedure for all standard software & PC:

  1. Contact ITS for latest quotes from the approved suppliers.
  2. ITS will confirm with the Department, the approved standards and requirements.
  3. The Department will raise PRO with Purchasing Office for PC and Licenses.
  4. Purchasing Office will place the order.
  5. The Supplier will deliver the PC to ITS.
  6. ITS will check the order and inform Department.
  7. ITS will prepare the PC and install standard software.
  8. ITS will deliver PC to destination.

In the last few years, USP has been operating without proper Software Licenses, which was highlighted in the ITS auditor's report in year 2002.

Making sure USP is compliant with all software licenses, is not an easy task but ITS is committed to take necessary steps to ensure USP is safe from the risks of being legally challenged for using of unlicensed software. Therefore ITS is proposing to include in the purchase of every new computer all the required licenses which can be available from Clarendon Technology.

Currently, every new client PC is installed with the following standard software.

It is clear from the table above, that for every client PC, all require Microsoft software and network access licenses. In year 2002, the University included Microsoft XP Professional in its hardware standard as an attempt to ensure every new purchased PC has a valid Microsoft license. ITS estimated that within the next 3 years, every USP client PC will have a valid operating system license. However, Office applications remain a concern, and ITS has been looking at various options but is offering the following as the most cost effective option for USP.

Departments will be advised to buy all required licenses from Clarendon or appropriate supplier. Once a PC is purchased and delivered to ITS from the supplier, ITS will install the required software with the valid licenses. Hopefully in the next 3 years, all USP client PCs will be running software with valid licenses until an alternative is approved.
