  1. How do I recover text from a corrupted document?

    1. Any file type
      Try opening the file by holding down the [Shift] key and double-clicking the file in Explorer. This will keep automatic VB code from running, as well as other automatic commands that may be the cause of the error.

    2. Microsoft Word
      If you can open the file, but the contents are garbled, try using the Show/Hide button to reveal formatting. Then, starting from the beginning of the document, highlight all of the text except any extra paragraph markers at the bottom of the document. Copy the text and paste it into a new document. If that doesn't work, you may be able to copy and paste other segments to rebuild the file.

    3. Excel
      If a small Excel file with only one sheet is the problem, try opening the file from Word. In the Open dialog box, select All Files in file types and try opening it directly or try using the Recover Text From Any File option also found under file types.

    4. PowerPoint
      PowerPoint files tend to corrupt quite easily and are often not readily recovered without commercial software. Every once in a while you can use the Insert-Slides option in a new blank PowerPoint file and import the slides from the corrupt presentation.

    5. Access
      Your best bet for recovering a corrupt Access database is to perform a repair and compact on the database. Failing that, you can attempt to import the objects into a new Access file.

    6. OfficeRecovery
      OfficeRecovery from Concept Data is a commercial utility that offers data recovery programs for Microsoft Office applications. After installation, an additional menu option, Recover, is available from the File menu of the applications for which it is purchased. The latest version, 2.0, includes support for Office XP.

      The product comes in these three suite combinations:
      1. Professional retails for $599 and includes Word, Excel, PowerPoint, and Access Recovery.
      2. Standard retails for $399 and includes Word, Excel, and PowerPoint recovery.
      3. Basic retails for $269 and includes Word and Excel recovery.

  2. I can't retrieve a file from a floppy disk. What can I do?
    Bring your file to the Help Desk and we will try to fix it using a Disk Utility program called Norton System Works.
    We will not promise you that it will be fixed, as it will depend on the severity of damage on the floppy disk.

  3. How do I save a Word document in rich text format?
    1. Click on File, Save As
    2. Type the filename



    3. Under Save As type select Rich text format
    4. Click on Save

  4. How do I save to a lower version of Word from a higher version like Word XP?
    1. Click on File, Save As
    2. Type the filename
    3. Under Save As type click on the down arrow and scroll to look for the Word version you wish to use

  5. What are Word macro viruses?
    Macro viruses are computer viruses that use an application's own macro programming language to distribute themselves. These macros have the potential to inflict damage to the document or to other computer software. These macro viruses can infect Word files, as well as any other application that uses a programming language.

  6. My PC had a Word macro virus. Now Word doesn't behave how it used to.

    The chances are the normal.dot template was damaged by the virus. Rename the template usually found in Program Files\Microsoft Office\Template\Normal.dot. Start Word and then exit. It will automatically create another normal template.

  7. What is the "normal.dot" template?

    The Normal or normal.dot template is a general-purpose template for any type of document. When you start Word or click the New icon, Word creates a new blank document that is based on the Normal template. You can modify this template to change the default document formatting or content.

  8. My page numbers are cut off the page when printing on my DeskJet printer.

    Increase the footer margin under File, Page Setup, Margins, Footer

  9. My document is fine under Print Preview but it prints out with the wrong margins.
    Check the paper size is set to to A4 or 210 x 297 mm
    1. Go to File menu, select Page Setup
    2. Select Paper



    3. Check that the Printer page setup is set to A4 size.
    4. Click on Start, go to Settings, Printers and Faxes
    5. Right-click on the printer icon, select Properties
    6. Select Device settings tab and check that Paper

  10. What version of MS Word am I using?
    To check the version of Word,
    1. Start the Word program
    2. Go to Help menu, select About Word option. The Word version will be displayed.

  11. I've forgotten the password to a Word document. Can you retrieve the document for me?

  12. The screen size is very small even though my font is in a bigger size like 16pt.
    Check the screen zoom size is set to 100%. The icon for the zoom is on the Standard toolbar.
    1. Or click on View menu and
    2. Select Zoom option and select the 100%

  13. Missing shortcut icon (top right of screen) to start Word.
    If you are using MS Office 97 do the following:
    1. Click on Start, Programs
    2. Select Windows Explorer
    3. Go to Microsoft Office folder and open it
    4. Select Microsoft Office Shortcut Bar this will put up the shortcut bar

  14. The PC hangs or freezes when I try to retrieve a Word document.
    If the document is on a floppy disk, bring the disk to our Help Desk for checking. Otherwise, you can call the Help Desk to log this request.

  15. How do I remove the auto format when typing URL in a Word document?
    1. Click on Tools menu, select Autocorrect option
    2. Click on Autoformat As You Type tab
    3. Under Replace As you type uncheck Internet and Network paths with Hyperlinks

  17. Word indicates that the Tahoma font is corrupt or missing. What do I do?
    Replace it with Tahoma font from another PC. Copy the font from the
    C:\Windows\fonts folder and install it on your PC. To install the font:
    1. Click on Start, Control Panel
    2. Select Fonts
    3. Go to File menu, select Install New Font
      The window below will be displayed



    4. Select the A drive if the font is on your floppy.
    5. Select the font and click OK

  18. I typed a document and accidentally exited the program. Can I retrieve the document?
    No, you will not be able to retrieve the document unless you saved it.
